Deposit Policy
Upon reservation, a deposit of 50% of the total booking, or one night accommodation amount is required, whichever is the greater amount, plus the total value of any additional extras ordered then will be charged to your credit card as a guarantee for your reservation.
The remaining balance will be deducted from your credit card seven (7) days prior to arrival. Failure to pay the balance prior to check in will result in cancellation of your booking.
A non-refundable credit card surcharge of 2% applies to all card payments.
All rates at the time of booking are correct, current, and cannot be changed under any circumstances once the booking has been made.
Cancellation Policy
Flexible rate plans – 7 days prior
Cancellations Prior to 7 days prior of Arrival Date: If a cancellation is made more than 7 days prior to the scheduled arrival date, no cancellation fee will be incurred. Guests will receive a full refund of the deposit amount (50% of the total booking fee or one night’s accommodation), or they have the option to reschedule their reservation, subject to availability and rate adjustments.
Cancellations Within 7 days of Arrival Date: For cancellations made within 7 days prior to the scheduled arrival date, a cancellation fee of 50% of the total booking amount will be applicable. Unfortunately, we regret to inform you that refunds and options for rescheduling are not available for cancellations within this specific time frame.
Non-Refundable rate plan:
During Peak Season including Christmas (20th December to 8th January), Easter (18th to 21st April) and public holidays, full payment is required at the time of booking. No cancellations or refunds are accepted on these reservations.
Stay 3, Pay for 2!
This offer is valid for stays at Eight Willows Retreat between Sunday and Thursday nights only. Friday and Saturday nights are excluded from this offer.
To be eligible for the complimentary last night, guests must book and stay for a consecutive three-night period. The complimentary night will be applied to the third night of the stay.
This special offer is available for a limited time only.
The offer is subject to availability and blackout dates apply to Peak periods. The availability may vary depending on demand for bookings.
To take advantage of this offer, reservations must be made directly with Eight Willows Retreat through the official website or by contacting the reservation team. Please mention the Stay 3, pay for 2 nights! at the time of booking.
This offer is open to individual guests and not applicable to group bookings or reservations made through third party travel agents or websites.
This offer cannot be combines with any other promotion, discount or offers unless otherwise stated. It is not applicable to existing bookings or previously made reservations.
Standard cancellation polices apply to bookings made under this special offer.
The complimentary night cannot be transferred or exchanged for cash, credit or any other services offered by Eight Willows Retreat.
Eight Willows Retreat reserves the right to modify or discontinue this offer at any time without prior notice. The decision of Eight Willow Retreat regarding an aspect of this promotion including eligibility and the interpretation of these terms and conditions shall be final and binding.
By participating in this special offer, guests agree to abide to these terms and conditions.
Group bookings Policy
One month prior to arrival Final Chalet numbers need to be confirmed. Any cancellation received after this period will be charged 50% of the total amount of the reservation, or one night’s accommodation (based on whichever amount is greater) plus, the total value of any additional extras ordered. All functions/group bookings must liaise with Function Manager, private parties are not allowed on the property.
Leavers Groups Policy
Eight Willows Retreat does not accept bookings from leavers groups between the dates 18th November to 21st November each year. This policy is in place to maintain a safe and tranquil environment for all guests during this period.
By confirming your booking during these dates, you acknowledge and agree to the following:
- Leavers Policy Compliance:
Bookings made for this period must not include individuals or groups attending Leavers celebrations. If it is determined that a booking has been made under false pretenses, Eight Willows Retreat reserves the right to cancel the reservation without refund. - Identification Verification:
Guests may be required to provide valid identification at check-in. If the booking does not comply with our Leavers Policy, the reservation will be immediately terminated. - Responsible Use of Facilities:
All guests are expected to use the facilities responsibly and respect the retreat’s peaceful environment. Any behavior that disrupts the experience of other guests may result in immediate eviction without refund.
Consent Policy
You consent to the collection and authorise the disclosure of your personal information for the purposes of administering a promotional reservation and providing you with any associated services including marketing & promotion by Eight Willows Retreat & associated third parties. Please note specific promotions and offers can only be redeemed on an individual basis and are valid for new bookings only and not in conjunction with other promotions or offers.
Additional Cleaning Charge
Chalets are to be left in a reasonable state:
Furniture should not be repositioned;
dirty dishes should be stacked in the dishwasher.
Rubbish should be contained in the rubbish bins provided.
Any additional cleaning required to remedy any of the above, beyond our standard cleaning procedure, will incur a $100 charge to the guest’s credit card, plus any professional charges for stain removal, carpet or curtain cleaning etc.
There is no smoking permitted in the chalets. An additional fee for professional cleaning of carpets or curtains will be charged should evidence be found of smoking in the chalet.

Damage to Property
Guests registering at the Retreat are responsible for any damages or loss to the chalet’s interior, contents, or immediate surrounds. Damage caused whilst occupying a chalet will be charged to the guest’s credit card (per management discretion).
Strictly No Pet Policy:
We have a strict no pet policy, with only allowance for therapy/guide dogs etc. with proof of letter. An additional fee for professional cleaning of carpets or curtains will be charged should evidence be found of a pet in the chalet. Please refer to our wedding terms & conditions for pets at ceremonies for weddings.
Smoking
There is no smoking permitted in the chalets. An additional fee for professional cleaning of carpets or curtains, will be charged should evidence be found of smoking in the chalet. Please note that the Retreat is in a high fire risk area due to surrounding National Forest and native bushland. Therefore, please refrain from putting your cigarettes out anywhere (especially in the bush) except in the ashtrays provided for each chalet. Remember, any ember or spark is enough to start a bushfire!
Fire Safety
The use of candles or tea lights in the chalet is not permitted. Obviously, apart from the damage candles can cause to the bathtubs and chalet interior, they are a potential fire and safety risk and cannot be condoned by management. Guests will be held responsible for any damage caused by the use of candles/tea lights in the chalets.
